This privacy policy explains how we (Guardian News & Media Limited) collect, use, share and transfer your personal data on the Guardian Jobs recruiter website (“our site”). This is separate to how the theguardian.com website uses your personal data. For information on theguardian.com website, please read the main privacy policy here.

Personal data is any information about you by which you are identified or could be identified. This can include information such as:

  • information relating to the services that you have purchased.

We use the personal data collected through the Jobs recruiters website for a number of purposes, including the following:

  • To provide you with an account for the services that you select (for example searching our CV database and accessing CVs or posting jobs) and related internal administrative purposes (such as those we need for our accounting and records) and to make you aware of any changes to our services.

When you register as recruiter on Guardian Jobs your company is assigned a recruiter number that is used to track activity across the site and for billing purposes.

Companies can have multiple individual accounts set up. Your personal data is used to help administer these accounts.

 

Legal grounds for using your personal data

We will only use your personal data where we have a legal ground to do so. We determine the legal grounds based on the purposes for which we have collected and use your personal data. In every case, the legal ground will be one of the following:

  • Performance of a contract with you (or in order to take steps prior to entering into a contract with you: For example, where you have signed up for a Guardian Jobs recruiter account, we need your contact details to manage your account.

  • Our legitimate interests: Where it is necessary for us to understand the people who use our services, promote our services and operate the Guardian Jobs site efficiently for provision of our services. Keeping your personal data

We keep your information for only as long as we need to for our purposes, and in particular to protect ourselves if there is a legal claim (for example, we may keep information relating to a contract with you for the lifetime of the contract and up to seven years after). After this period, we will delete it or make it anonymous by removing all your details. If we asked for your permission to process your personal data and we have no other lawful ground to continue with that processing, and you withdraw your permission, we will delete your personal data.

Individual recruiter user accounts can only be closed by their Recruiter Company Management user, who can add, edit and expire Recruiter Service users. Once this has been done, that individual will no longer to be able be to access the service. When requested, individual accounts can be permanently deleted from the system, otherwise some details are retained e.g. name, email address, associated recruiter, user id, for as long as we need them for our internal record purposes.
